  • Education: Highschool Diploma minimum

  • Compensation $17.00-$19.00 per hour.

Job Summary: The Data Administrator provides comprehensive administrative and staff support services to a manager or group of managers within an assigned functional area. Under limited supervision, this role performs a wide range of administrative tasks and assists in training others. The Data Administrator follows established procedures for routine tasks while receiving general guidance for non-routine tasks that involve limited decision-making responsibility. Strong organizational skills, attention to detail, and the ability to adapt procedures to more complex assignments are essential for this role. The Data Administrator resolves most questions and problems independently and maintains routine contact with internal and external customers.

Essential Duties and Responsibilities:
  • Coordinate and perform a variety of staff and operational support activities for a manager or group of managers in the assigned functional area.
  • Serve as a liaison with other functional areas, external customers, and vendors to resolve routine administrative and operational problems.
  • Provide administrative support, including answering telephones, assisting visitors, and addressing administrative inquiries and issues.
  • Compose and edit correspondence and/or memoranda based on dictation, verbal direction, or established policies.
  • Prepare, transcribe, compose, type, edit, and distribute agendas and minutes of meetings.
  • Schedule and coordinate meetings, events, interviews, appointments, and similar activities, including travel and lodging arrangements.
  • Prepare scheduled and ad hoc statistical and narrative reports by performing basic information gathering and analysis, as directed.
  • Establish, maintain, and update files, databases, records, and other documents.
  • Develop and maintain data, perform routine analyses and calculations for recurring internal reports.
  • Sort, screen, review, and distribute incoming and outgoing mail and provide timely responses to routine written inquiries.
  • Requisition supplies, printing, maintenance, and other services.
  • Stay updated on modern office management methods, techniques, and industry-related knowledge.
  • Operate standard office equipment and utilize required software applications.
  • Perform other duties and responsibilities as assigned.
Skills:
  • Intermediate level understanding of concepts, principles, and practices in providing administrative support.
  • Familiarity with fundamental investment concepts, practices, and procedures in the securities industry.
  • Basic knowledge of banking, finance, and securities industry operations.
  • Proficiency in financial markets and products terminology.
  • Experience in performing a range of staff and operational support activities for managers.
  • Ability to handle telephone calls, assist visitors, and address inquiries effectively.
  • Skilled in preparing, transcribing, composing, typing, and editing correspondence, agendas, minutes, and other documents.
  • Strong scheduling and coordination abilities for meetings, events, interviews, and appointments.
  • Capable of preparing reports and conducting basic information gathering and analysis.
  • Excellent organizational skills to establish and maintain files, databases, and records.
  • Familiarity with routine analyses and calculations involved in report preparation.
  • Efficient in sorting, screening, and distributing mail.
  • Proficient in operating standard office equipment and required software applications.
  • Up-to-date knowledge of modern office management methods and techniques.
  • Ability to read, comprehend, and apply business-related information.
  • Strong multitasking skills to manage multiple detailed tasks and assignments with changing priorities.
  • Effective oral and written communication abilities.
  • Demonstrated ability to work collaboratively within a team environment.
  • Commitment to providing a high level of customer service.
  • Capable of establishing and maintaining effective working relationships.
Education and Experience:
  • High School diploma with a minimum of one (1) year of general administrative support experience required.
  • Any equivalent combination of experience, education, and/or training approved by Human Resources
