Job descriptions for this role tend to say “maintain and support the NetSuite environment,” which tells a candidate nothing and tells us even less. The real scope is narrower and much more specific.
A working admin owns the role and permission model, which is the part that quietly decides whether your AP clerk can see payroll. They own saved searches and the dashboards your executives actually look at. They own workflow states, approval routing, custom fields and forms, the sandbox refresh cycle, CSV imports that don’t duplicate 4,000 customer records, and the two NetSuite releases a year that arrive whether you scheduled testing or not.
None of that is glamorous. All of it is expensive when it’s missing. We’ve watched a wholesale distributor spend a full quarter untangling a permissions model that a departing admin had layered on top of itself for three years, and the fix wasn’t technical so much as archaeological.
Which NetSuite Admin Do You Actually Need?
Four different hires get called “NetSuite administrator.” They are not interchangeable, and picking the wrong one is the single most common way an ERP search burns a quarter, because the req goes to market describing a person who doesn’t exist at the band you posted.

Six Things We Test Before You See a Résumé
Certification proves someone studied. These six prove they’ve run a live instance without breaking the close.
Can they design a role model from scratch, or have they only ever cloned one and hoped? We ask how they’d give a warehouse lead full inventory visibility without also handing over margin, landed cost, and every vendor bill in the system, which is a five minute question that tells you almost everything.
Criteria versus results, summary and formula fields, joins across record types. This is where self-taught admins usually plateau, and it shows up inside about four minutes once you ask them to build a summary search that groups by subsidiary and filters on a formula field.

CSV imports, duplicate detection, mass updates, and the discipline to take a backup first, because a bad mass update at 4pm on the last day of the month is a genuinely bad afternoon. Everyone has a story here. We ask for it.

Certified Is a Floor, Not a Finish Line
A NetSuite Certified Administrator credential is worth checking. We verify it on every candidate. It just doesn’t answer the question you’re actually asking, which is whether this person can hold your instance together while the business changes underneath it.
So our screen goes past the badge. Every admin candidate gets 30 to 45 minutes with a recruiter who can follow the answer, and we push on specifics rather than letting someone recite the module list they memorized for the exam. Walk me through the last permissions change you made that had a blast radius. What broke in the most recent release, and how did you find out. Tell me about an import you had to reverse.
You learn a lot from how someone describes a mistake. Candidates who’ve genuinely run production talk about blast radius, rollback, and who they told first. Candidates who’ve mostly shadowed talk about features.
Industry context matters here too. An admin who’s lived in wholesale distribution with inventory, landed cost, and a 3PL feed is solving different problems than one who’s spent four years in a SaaS company on subscription billing and revenue recognition. At 300 users across three subsidiaries the same title means governance, permissions architecture, and release strategy, with someone junior handling tickets, and hiring one profile when you needed the other is a mistake that usually surfaces about five months in.

One thing worth knowing before you post. Admin comp and developer comp are different markets, and a req that quietly asks for both at an admin band tends to sit open for months.
Can you place a part-time or fractional NetSuite admin?
Yes. Plenty of instances don’t need 40 hours a week of administration, and we place contract admins on part-time and fractional schedules regularly.
It works best with a written scope. Upkeep, release testing, a documentation backlog, a permissions cleanup. Open-ended fractional arrangements drift, and the drift usually shows up as the same firefighting you were trying to leave behind.
Do you place remote NetSuite administrators?
Most of them, yes. NetSuite is cloud ERP and administration is location-independent, so remote and hybrid placements are the norm across our desk.
On-site still matters for some searches.
